Personal data we process

Hawking processes your personal data when you use our services and/or when you provide these data to us yourself. Below is an overview of the personal data we process:

• First and last name
• Email address

Our website and contact channels do not intend to collect data about individuals under the age of 16, unless they have consent from parents or guardians. If you believe that we have collected personal data about a minor without such consent, please contact us at info@hawking.health, and we will remove this information.

For what purpose and on what basis we process personal data

Hawking processes your personal data for the following purposes:

• To be able to call or email you if necessary to provide our services or because you have asked us to;
• To inform you about changes to our services and products;
• To offer you the possibility to create an account;
• Hawking also processes personal data when we are legally obliged to do so, such as data required for our tax return.

How long we retain personal data

Hawking does not retain your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We follow the following retention periods for the following (categories of) personal data:

• Email address, name, and phone number for follow-up on contact requests: 1 year;
• Email address and name for creating an account and performing services within your account: As long as you use our application(s), and then a maximum of 3 months;
• Email address, name, phone number, and bank details for purchases: 7 years due to tax retention obligation.

Sharing personal data with third parties

Hawking shares your personal data with various third parties if this is necessary for the performance of the agreement and to comply with any legal obligation. We also send your name and email address to a third party for sending emails. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Hawking remains responsible for these processing operations.

Cookies or similar techniques that we use

Hawking only uses technical and functional cookies, as well as analytical cookies that do not infringe on your privacy. A cookie is a small text file that is stored on your computer, tablet, or smartphone when you first visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and remember your preferences. We can also optimise our website with these cookies. You can opt out of cookies by setting your internet browser not to store cookies anymore. In addition, you can also delete all previously stored information through your browser settings.

View, modify, or delete data

You have the right to view, correct, or delete your personal data. You also have the right to withdraw your consent to data processing or to object to the processing of your personal data by Hawking, as well as the right to data portability. This means that you can submit a request to us to send the personal data we have about you in a computer file to you or another organisation you have mentioned.

You can send a request for inspection, correction, deletion, data transfer of your personal data, or a request to withdraw your consent or objection to the processing of your personal data to info@hawking.health. To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks. Hawking also wants to point out that you have the opportunity to file a complaint with the national supervisory authority, the Dutch Data Protection Authority.

How we secure personal data

Hawking takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure, and unauthorised alteration. If you believe that your data is not properly secured or there are indications of abuse, please contact our customer service or email us at info@hawking.health. Hawking has taken the following measures to secure your personal data:

• Security software, such as a virus scanner and firewall.
• TLS (formerly SSL) We send your data via a secure internet connection. You can see this in the address bar 'https' and the padlock in the address bar.
• DKIM, SPF, and DMARC are three internet standards that we use to prevent you from receiving emails on our behalf that contain viruses, spam, or are intended to obtain personal (login) information.
